What to look for

Why it matters

Cloud is usually the biggest line item, but AI spend can swing wildly month to month, and SaaS sprawl adds up fast. A tool that only sees one slice of your stack leaves the rest of the picture in separate consoles and spreadsheets.

Normalization into one comparable view

What to look for

Cost data synced on a schedule, de-duplicated, and normalized into a single daily view — not raw exports you still have to reconcile yourself.

Why it matters

Every provider bills differently: different usage units, different billing periods, different levels of detail. Without normalization, finance and engineering end up arguing about whose number is right instead of acting on it.

Pricing model & incentive alignment

What to look for

A flat, plan-based rate rather than a percentage of your managed spend or of the savings the tool claims to have found.

Time to value

What to look for

Read-only connectors that go live in minutes, with a working view of your spend the same day you connect them.

Why it matters

A cost tool that requires a multi-week integration project delays the very visibility you're buying it for, and adds engineering cost on top of the subscription.

Red flag Onboarding requires a professional-services engagement, custom code, or a dedicated integration engineer before you see a single number.

Data access & security model

What to look for

Read-only, cost-scoped credentials, plus SSO and role-based access control for who inside your org can see spend.

Why it matters

A cost tool only ever needs to read billing data — never your workloads or source code. The access model a vendor asks for tells you how seriously they take least privilege.

Red flag It asks for permissions broader than billing/cost-data read access, or has no SSO/RBAC story for controlling who sees spend.

Early-warning visibility

What to look for

Trends and anomalies surfaced daily, early enough to act before the invoice closes the loop — not just a monthly summary.

Why it matters

An invoice is a lagging indicator by construction — it's a receipt for spend that already happened. Visibility that updates daily is what lets you catch a runaway service or an unusual usage spike while it's still small.

Red flag The only view available is a monthly or on-demand report, with nothing that updates on a daily schedule.

History & auditability

What to look for

Enough retained cost history — ideally unlimited — to see trends across quarters and years, not just the last 30–90 days.

Why it matters

Year-over-year and quarter-over-quarter comparisons are how you tell a seasonal spike from a genuine cost trend. Short retention windows quietly erase the data you'd need to make that call.

One honest caveat

When a dedicated tool may be overkill: if you run a single cloud provider, spend is modest, and one person already checks the native billing console regularly, a dedicated cost-monitoring tool may not pay for itself yet. The math tends to flip once you're juggling more than one provider's console, or engineering and finance are seeing different numbers for the same month. This is a rule of thumb, not a universal threshold — we'd rather you skip a tool you don't need than buy one that sits unused.

Common questions about choosing a cost tool

Should we build a cost dashboard in-house instead of buying a tool?

It's a real option if you have engineering time to spare and only one or two billing sources to reconcile. The build cost usually gets underestimated: it's not just an initial pull from an API, it's ongoing maintenance as providers change their billing formats, de-duplication logic, and a normalization layer to make different providers comparable. Once you're covering more than a couple of providers, that ongoing cost tends to exceed a flat monthly subscription.

Is a spreadsheet enough to track cloud and AI spend?

For a single provider at low spend, a spreadsheet of monthly totals can be enough. It stops working once you have more than one billing source, because someone has to manually export, reconcile, and normalize each console's numbers on a recurring schedule — and a spreadsheet has no way to surface a same-day anomaly, only whatever was true the last time someone updated it.
